Privacy and information protection policy and notice.

 

HelpUp (“HelpUp, “the organization”, “we”, “us”, “with us”, “our”) respects the privacy of its customers and is committed to protecting the personal information that its customers share with it. We are transparent about how we treat the information that we may collect and process when you use our services (as defined below), when you apply for a job, are employed by us, visit our websites or communicate with us in any other way; everything – as described in this privacy policy document and in accordance with the Privacy Protection Law, 1981-1981 and its regulations (“privacy protection law“).

HelpUp acts to make volunteering accessible to everyone, in Israel and in Africa. HelpUp offers programs to reach this goal and connect every person to volunteering of any kind. For example, HelpUp sends volunteers from Israel to communities in Africa to teach about Israel; offers volunteer programs in which Israelis nurture vulnerable populations (both Jewish and non-Jewish); provides services for the underprivileged in Israel; Offers “Missions in Israel” programs with the aim of connecting Israelis to work and live together for a certain period of time. HelpUp in Israel also supports vulnerable populations in Israel such as at-risk children and the elderly with a wide variety of educational, leisure and volunteer programs (all of these together the “Services”).

Individuals using these services are entitled to the protection of their personal information as detailed in this policy document (“Privacy Policy“). A customer can be an individual who uses or wishes to use the services for his needs as an individual or as a representative or employee of a legal entity. In addition, we may collect personal data from individuals, or individuals may provide personal data when they use the services or visit our sites or browse our websites, or as employees or candidates for positions in the organization and more. This privacy policy also describes HelpUp’s procedures for the collection, use, maintenance and processing of personal information.

Customers wishing to contract with us or use our services may be asked to provide the organization with certain information that includes personal information & sensitive information as detailed later in this privacy policy (“Personal Information“). HelpUp’s use of personal information in connection with the services will be carried out in accordance with this privacy policy and HelpUp organization’s terms of use.

Please read the following carefully to understand our practices regarding your personal information and how we will treat it.

For the purposes of the European Economic Area Data Protection Regulation 2016/679, (“GDPR“), HelpUp will generally be considered the controller of the personal information (“the controller of the personal information”).

How do we collect personal information about our customers or users of our Services?

There are two main methods that we use:

We collect personal information through your use of our website. In other words, when you use the website or the application, we are aware of this and may collect, save and record the information related to such use, independently or through third party services as detailed below. This may include technical information and behavioral information such as the user’s Internet Protocol (IP) address used to connect the computer to the Internet, website location (URL), operating system, browser type, browser plug-in types, screen resolution, Flash version, time zone setting, ‘The user’s clickstream’ on the website, the time period the user visited the website, methods used to browse away from a page and any phone number used to call our customer service. Also, we may plant cookies on the devices through which you browse our websites (see the cookies section below).

We collect personal information required for us to provide the Services when you register for the Services. In addition, we collect your personal information, when you provide us with such information when filling out forms or when you communicate with us.

 

For what purpose do we collect personal information?

We will use personal information to provide and improve the Services and to comply with our contractual, ethical and legal obligations, including for example:

• Carrying out our obligations commencing from any contract signed between you and HelpUp and/or any contract signed between a customer and HelpUp and to provide you with the information, products and services you request from HelpUp;

• Managing your case in HelpUp;

• Verification and execution of financial transactions in relation to the payments you make in connection with the Services;

• Notify you of changes to our Services;

• Contacting you for the purpose of providing technical assistance and other related information about the Services;

• Answering your questions, solving problems, detecting and protecting against error, fraud or other criminal activities;

• To contact you in order to provide you with information and invite you to take part in other programs offered by HelpUp and/or partner companies, related entities or third parties. We do this based on our legitimate interests in marketing our services and those of our related entities;

• To contact you in order to inform you about additional services that may be of interest to you. We do this based on our legitimate interests in marketing our Services;

• To photograph you or use photographs in which you appear and their various byproducts if you participate in our programs or events of any kind and publish them for all our needs, including for marketing, advertising, resource recruitment and more. The way materials are used includes printed and online products, social media, press releases, requests for donations, and more. We do this based on our legitimate interests to promote the programs and events held by HelpUp organization and the services we provide;

• Compliance and control, such as compliance with our reporting obligations in our various jurisdictions, and for crime prevention and filing a lawsuit with regard to our employees, staff, facility safety, etc.;

• For security purposes and to identify and authenticate your access to the Services.

Personal information you provide to us may be combined with personal information obtained from other sources, all of which will be used for the purposes listed above.

 

Sharing personal information with third parties.

We may transfer personal information to:

Related organizations, subsidiaries and related entities.

This will include: Any member of our group, whether entirely or partially owned by us, in the European Union, Israel, the USA and elsewhere, as well as our joint venture partners who support our processing of personal information under this privacy policy. This also includes related entities or other partners through whom we provide our services.

For the avoidance of any doubt, it is hereby clarified that this policy is the privacy policy of HelpUp organization and not of its subsidiaries or any other related entities.

Third parties

We transfer personal information to third parties on various circumstances. We try to ensure that these third parties will use your personal information only to the extent necessary to perform their duties and that there will be a binding agreement between us for the information processing operations they perform for us. These third parties may include business partners, suppliers, related entities, agents and/or subcontractors for the performance of any contract we enter into with you. They may assist us in providing the services we offer, processing transactions, fulfilling requests for information, receiving and sending messages, analyzing data, providing IT services and other support services or other tasks, from time to time. These third parties may also include analytics and research providers and search engines that assist us in improving and optimizing our website and marketing operations.

We add and remove suppliers from time to time. Currently our suppliers to whom we may transfer personal information also include the parties below:

– Salesforce.

– Google Analytics.

– Active Trail/MailChimp, Direct mail software.

– Online zoom platform for meeting rooms.

– Call center system.

– Visitor registration system.

– Project management system.

– Recruitment and candidate management software.

– Human resource management software.

– Travel services and insurance companies.

– Israeli government offices.

– Payroll management services.

– Survey companies.

In addition, we may share your personal information with third parties: if we are required to disclose or share your personal information to comply with any legal obligation or audit or compliance, during any legal or regulatory proceeding or investigation, or to enforce or apply the terms of the contract that we have with you or for you; or to protect the rights, property and safety of HelpUp organization, our staff and customers or others. The above includes the exchange of information with other companies and organizations for the purpose of protecting against fraud and reducing credit risks and preventing cybercrimes.

For the avoidance of any doubt, HelpUp organization may transfer and disclose non-personal information and data to third parties at its discretion.

Where do we store your personal information?

We may store personal information in a database that will be owned and controlled by the database administrator. The personal information we collect is stored in internal databases and on the cloud:

Microsoft Azure, Salesforce, Egnyte, Oracle (Eloqua), Google Drive, MONDAY.

 

International transfers of personal information

Personal information may be transferred outside the borders of the country in which it was collected. For example, with certain mechanisms in place, personal information may be transferred, stored and used in a destination outside the European Economic Area (EEA) which may not be subject to data protection laws identical to those of the European Union. When your personal information is transferred outside the European Union, we will take all steps reasonably necessary to ensure that your data is subject to appropriate safeguards, and that it is handled with securely and in accordance with this privacy policy. HelpUp organization transfers personal information from the various websites and jurisdictions in which it operates to other jurisdictions, as follows:

–For Israel: HelpUp headquarters is located in Israel. Israel is considered by the European Commission as one to offer an adequate level of protection for the personal information of residents of EU countries;

– For the United States of America: When we transfer personal information to the United States, we will do so in accordance with what is stated in the Privacy Protection Act or according to one of the legal bases described in the data protection laws of the European Union, such as Privacy-Shield, standard contractual clauses, etc.

– Within the European Union: We may transfer your personal information outside the European Union, in order to:

– Store or back-up any personal information;

– To allow us to provide you with the services and fulfill our contract with you;

– To fulfill any legal obligations, either arising from an audit or from compliance rules that require us to carry out the transfer;

– Enable the operation of our organization, based on our legitimate interests but after we have concluded that they do not violate your rights;

– To offer our services in multiple jurisdictions;

–To operate our organization, our subsidiaries and related entities in an efficient and optimal manner.

 

Modification or deletion of personal information collected by HelpUp.

Customers may have a legal right according to certain relevant laws (for example if the user is part of the European Union) to receive, correct, delete and limit the processing of personal information about them held by us, to object to the processing and if the processing is carried out on a legal basis of informed consent – to withdraw this consent .

If a customer wishes, for any reason, to change, delete or retrieve his personal information, he may do so by contacting HelpUp at ceo@helpapp.org.il . The organization will carry out the necessary procedure for identifying the customer as a customer who has the right to retrieve the specific information and then deliver the data necessary for correction, deletion or retrieval together with specific identification of the customer and the personal information.

Please note, HelpUp may delete personal information or save data and information in a cumulative manner that does not allow a link to identifying details or any personal information, everything depends on the technical commercial capacity. Such information may continue to be used by the organization for the purpose of operating the services.

Saving personal information

HelpUp will keep personal information that it processes only as long as it is required to provide the services and to meet its legal obligations, resolve disputes and enforce the agreements to which it is bound. The personal information will be kept in accordance with the best business practices and according to legal obligations.

Please note, some of the data will not be deleted, and will be kept anonymously. Meta-data and statistical information relating to the use of the services is not subject to the deletion procedures in accordance with this privacy policy and may be retained by HelpUp organization. We will not be able to identify you from this data. Certain data may also be stored on the servers of our service providers until deleted in accordance with their privacy policies and data retention policies.

Collection of data and cookies on the website.

When you access or use our services, we may use standard technologies such as cookies, pixels and similar technologies, which store certain information on your computer or other device that allows access to the information. These technologies will allow us to associate the computer or other device with the user, as well as enable automatic activation of certain features, and make your service experience much more convenient and effortless. How to disable cookies: The effect of disabling cookies depends on which cookies you disable, but in general, the website and certain services provided through it may not function properly, may not recognize your device, may not remember your preferences, and so on, if cookies are disabled or removed. Security and storage of information

We take great care in implementing, enforcing and maintaining the security of the personal information we process. HelpUp tries to implement, enforce and maintain security measures, technologies and policies to prevent unauthorized or accidental access to access or destruction, loss, modification, use or disclosure of personal information. We also take steps to monitor compliance with this policy on an ongoing basis. Where we deem appropriate in light of the nature of the data and the risks to users, we may encrypt data. Also, we take industry standard steps to ensure that our website is secure.

However, please note that no information security measures are perfect or impenetrable, and we cannot guarantee that unauthorized access, leaks, viruses and other information security breaches will never occur.

Within HelpUp we try to limit access to personal information to those who are part of our workforce who: (i) require access in order for HelpUp to be able to fulfill its obligations according to this privacy policy as well as according to its agreements and (ii) have undergone appropriate periodic training regarding the applicable requirements on the processing and treatment of personal information and (iii) are subject to confidentiality obligations as required by the relevant applicable law. We take steps to ensure that our staff, who have access to personal information, are honest, reliable, skilled and trained.

HelpUp organization will act in accordance with its privacy policy to immediately notify the relevant authorities and users in the event that any personal information processed by HelpUp is lost, stolen or if there was unauthorized access to it, all – in accordance with the applicable law and according to the instructions of the qualified authority. We will promptly take reasonable corrective measures.

User rights

Users have rights under the Privacy Protection Act and the GDPR regulation, including, in various circumstances, rights to access personal information, correct personal information, object to processing and delete personal information. For the avoidance of any doubt, it is clarified that the users’ rights cannot be exercised in a way that is inconsistent with the rights of HelpUp organization’s employees, with our property rights and third-party rights. As such, references, reviews, internal notes and assessments, documents and comments that include proprietary information or intellectual property issues cannot be accessed or deleted or corrected. In addition, users’ rights cannot be exercised when they refer to personal information that is not in a structured form, for example emails, or in cases where other exemptions apply. If the processing takes place based on consent, users have the right to withdraw their consent.

If, for any reason, a person registered, wishes to exercise these rights and change, delete or retrieve his personal information, he can contact HelpUp (at ceo@helpapp.org.il ). Please note, HelpUp may be required to take procedure to identify a user exercising his rights. HelpUp is entitled to keep details of such exercised rights in order for it to meet its compliance and audit requirements. Also, please note, it is possible to delete personal information or save personal information in an accumulated manner that does not allow a link to identifying details or personal data, all – depends on the technical commercial capacity. Such information may continue to be used by HelpUp. 

General

HelpUp aims to process only adequate, accurate and relevant personal information limited to the needs and purposes for which it was collected. Also, its purpose is to store personal information for the period of time necessary to fulfill the purpose for which it was collected. We collect personal information only in connection with a specific legitimate purpose and process personal information in accordance with this privacy policy.

minors

In relation to personal information about minors under the age of 16, HelpUp will endeavor to process personal information only with the consent of the person with parental responsibility for the minor. HelpUp will make reasonable efforts to ensure that consent is given or confirmed by the person with parental responsibility for the child, but as a rule cannot take responsibility for misrepresentation of people regarding their age.

Changes to this Privacy Policy

The terms of this privacy policy will apply to the use of the services, the website and any personal information collected in connection with them. HelpUp may amend or update this privacy policy from time to time. The most recent version of this privacy policy will be available on this page. Changes to this privacy policy are effective on the date indicated as “last updated” and your continued use of the services constitutes your acknowledgment and acceptance of the privacy policy relating to the management of your personal information in HelpUp organization.
